Job Role Summary

The Purchasing Coordinator performs data setup and maintenance in the SAP vendor master and master data file, including pricing updates. This position monitors Vendor Registration compliance, creates workspaces and uploads contracts in the contract repository. This position coordinates and assists the Supply Chain department with reporting from SAP, Epic and/or Contract systems. The Purchasing Coordinator performs entry level purchasing duties including placing orders with suppliers.

Essential Functions and Responsibilities

•    Performs data setup and maintenance in the SAP vendor master and master data file, including pricing updates approved by the Purchasing Agent or Purchasing Manager 
•    Maintains the integrity of data in the SAP master data file
•    Orders office supplies, business forms and miscellaneous orders through Amazon
•    Updates purchase order information including delivery date and confirmation
•    Follows up on returns to suppliers to ensure credit is received 
•    Creates requisitions for Supply Chain cost centers as required
•    Monitors Vendor Registration compliance; reports any non-compliance to Purchasing Manager
•    Creates contracts workflow in contract repository for incoming contracts; sets tracking events; sends and follows up on contracts for signature; uploads fully signed contracts into the contract repository
•    Reviews Service Now tasks from Epic supply issues as assigned
•    Manages Asset Tags, Tag Log and distributes Tags to responsible department leaders as required
•    Performs daily checks and maintenance of vendor kiosk
•    Assists with process improvement projects, may include projects related to the S4 Hanna upgrade 
•    Creates reports related to data integrity in both SAP and Epic including purchase price variance reports
•    May also be responsible for the following:

  • Coordinate with Purchasing Agents to resolve invoice discrepancies, including but not limited to receiving and pricing discrepancies on the GRIR and MRBR reports
  • Coordinate with the receiving dock on purchase orders that have discrepancies
  • Participates in Goods Receipt/Invoice Receipt (GR/IR) meetings as needed
  • Operates a personal computer with word processing and spreadsheet software and enterprise resource database systems, to process information concerning requisitions, purchase orders, item and vendor files, purchasing data, contracts, correspondence, operational files and other projects required for Purchasing Department functions

Job Requirements

•    High School diploma or equivalent required; Bachelor’s degree in a job-related field preferred
•    Minimum of four years of job-related experience in database maintenance, purchasing or Supply Chain

Knowledge, Skills & Abilities

•    ERP system experience with a preference for SAP Material Management (MM) module
•    Advanced skills in Microsoft Word and Excel; ability to work in database and spreadsheets of moderate complexity
•    Ability to work effectively as part of a team and independently; ability to work independent of constant direct supervision
•    Ability to read, write and use basic math
•    Ability to communicate clearly in both verbal and written form
•    Ability to manage multiple tasks at once with problem solving and analytical skills
•    Ability to analyze data, organize and manage projects with attention to detail and accuracy
•    Ability to recognize discrepancies and perform research to determine cause and correct errors
•    Ability to meet deadlines for data input and still achieve a high degree of accuracy
•    Demonstrates patience, tolerance and acceptance of diversity; presents a positive image of the hospital in all personal, telephone and e-mail interactions
